Responsibilities:
- Record daily banking activity in QuickBooks and reconcile with online systems.
- Manage ACH payments, wire transfers, check deposits, and cash handling across multiple divisions.
- Process and reconcile credit card transactions and petty cash.
- Support companywide cash-related functions, including customer payments, CODs, and returns.
- Enter and approve transactions in Positive Pay; notarize documents and handle lien waivers.
- Maintain accuracy of cash sales in Eclipse and ensure proper GL coding.
- Provide frontline support for customer inquiries and account information.
- Manage Positive Pay submissions for check runs and wires.
- Reconcile and deposit petty cash and surplus funds.
- Support cash and credit card reconciliation for all divisions.
- Coordinate with credit managers to apply sales tax credits and maintain documentation.
- Code and reconcile credit card and COD transactions.
- Support month-end close: reconcile bank accounts, prepare and post journal entries, submit financial reports.
- File sales tax for multiple states and handle AP check distribution.
- Track held checks, medical insurance payments, and W9 compliance.
- Assist with year-end close, audits, and tax payments.
- Prepare 1099 eligibility list and submit to accountants.
- Reconcile key balance sheet accounts (e.g., cash prepayments, customer refunds, A/R exchange).
- Provide financial support and documentation for audits and internal requests.
Requirements:
- Bachelor's degree in Accounting, Finance, or Business is a plus
- 5+ years of experience in a similar role
- Excellent Communications Skills
- Intermediate Excel skills
- Ability to multi-task
