We are seeking a detail-oriented and proactive Commercial Construction Project Administrator to support a project management team in the planning and execution of commercial construction projects. This role is critical in ensuring smooth communication, accurate documentation, and timely completion of project deliverables. The ideal candidate has experience in construction operations, exceptional organizational skills, and strong working knowledge of Procore.
Support Project Managers throughout all project phases, from bidding to closeout.
Manage bid processes, including creating bid invitations, preparing bid packages, and tracking bid communications.
Draft and issue subcontracts, purchase orders, change orders, and other project-related documents.
Create and manage RFIs, submittals, and close-out documentation using Procore.
Maintain accurate project records, budgets, and compliance documentation.
Assist with subcontractor management, including receiving and processing pay applications, insurance certificates, and lien waivers.
Ensure compliance with local, state, and federal construction regulations.
Collaborate with internal teams to ensure all required documentation (such as certified payroll, diversity reporting, bonds, etc.) is submitted and approved before payments are released.
Support project managers in the preparation and submission of owner change orders and pay applications.
Participate in project meetings, track key deliverables, and help ensure all deadlines are met.
Procore experience required — must be proficient in daily use and document management within the platform.
High school diploma or GED required; Associate’s degree or technical training preferred.
1–3 years of experience in commercial construction coordination or a related role.
Strong communication skills, both written and verbal.
Excellent organizational and time-management abilities.
Proficient with Microsoft Office Suite (Excel, Outlook, Word).
Knowledge of construction documentation, budgeting, and contract administration.
Ability to manage multiple priorities and adapt to a fast-paced environment.
